Things to ask your Wedding Coordinator


Coordinators can actually make or break a wedding. If they were hired from Day 1 to help the couple during the planning, their comments/suggestions/recommendations will highly matter. This of course will show their credibility and expertise. Wedding planning is crucial since Day 1 since a lot of factors are needed to be considered. But since not all couples have the budget to hire a Full Wedding Planner, the best option would be to get an On-The-Day (OTD) Coordinator who will oversee, act on whatever needs to be done and troubleshoot possible issues that can arise during a wedding. Upon initial inquiry, below is the list of things you should at least be well aware of regarding your chosen coordinator.

  • name
  • date of event
  • time of event
  • number of possible guests
  • contact information (email, mobile #, viber # etc)
  • tell where you found out about them (optional, but this is good especially if you’re going to haggle for possible discounts later on due to recommendations)

During initial inquiry (or meeting) ask your Coordinator/Planner about…

  • Coordinator package rates (Full, Partial/Semi/Halfway or OTD/On-the-Day)
  • inclusions of the package
    • total number of crews on the day of the wedding
    • total number of meetings
    • preferred mode of communication (email, viber, skype, FB, personal etc)
    • is there unlimited consultation?
    • wedding checklist guideline (soft/hard copy)
    • wedding budget guideline (soft/hard copy)
    • wedding timeline (soft/hard copy)
    • RSVP management (some needs additional fee on top of the existing package)
    • Emcee/Hosting services  (some needs additional fee on top of the existing package)
    • bridal assistance
    • groom assistance
    • total number of manpower on the day of the wedding
    • freebies (poppers etc)
  • detailed scope of work
  • Team profiling (general experience as a Coordinator which includes both the head coordinator and the team, experience working with your chosen church & venue, experience working with your chosen suppliers etc)
  • manpower details (# of people who will be assigned in the preps, church, etc)
  • logistics and time frame strategy for your wedding day
  • contract details (package upgrade, package downgrade, cancellation etc)
  • crew meals preference
  • OOT/Out-of-town fees (if applicable)
  • other supplier recommendations like Host/Emcee, Lights & Sounds, Band, Photo team, video team, HMUA, caterer etc that they have worked with before (**must have good relationship)
  • discount, promo, bridal fair schedules etc that you can avail
  • payment terms (full payment or cash)
  • preferred payment type (cash, remittance or through bank deposit)
  • during detailing these are important things to ask as well:
    • deadline for turn over items
    • Arrival time for preps
    • recommended program flow strategy (from preps to reception)
    • other things to bring (like first aid kits, sewing kits, iron etc
